Operations & Finance Administrative Assistant

Reports to: Executive Assistant Supervisor
The position.
We’re looking for somebody who can work closely with our Executive Assistant (EA) Supervisor to support the financial and operations leadership team. In the Operations & Finance Administrative Assistant role you will have the opportunity to be integrated into a highly collaborative, and passionate team.

This role will require the following skills and abilities:
- Manage multiple requests and priorities simultaneously, meet deadlines, and show flexibility to change direction when needed.
- Exhibit a high level of responsibility and responsiveness to drive tasks through to completion.
- Trustworthiness and high-quality written communications
- A high level of integrity and discretion in handling confidential information.
What you’ll be doing.
- Manage calendars: reserve conference rooms, resolve conflicts, handle reschedules, ensure invites contain dial-in information etc.
- Handle email communication. We use Google's services: Gmail, Google Calendar, and Google Sheets.
- Regularly handle sensitive data and communication
- Coordinate travel in compliance with existing policies and procedures, ensuring effective use of time and resources
- Anticipate challenges and plan accordingly ahead of need
- Keep track of outstanding requests and schedule reminders.
- Handle invoice processing and expense reports
- Help manage area budgets
- Assist with assembling PowerPoint presentations for a wide variety of audiences, from executive management to the board
- Help with some small personal tasks, such as making appointments
- Proofread PowerPoint presentations for grammar, crisp presentation and voice consistency
What we’re looking for.
- Bachelor’s degree or 2+ years of relevant work experience
- A ‘do-what-it-takes’ attitude toward driving results in a fast-paced work environment
- Excellent time-management skills
- A love of learning & the ability to keep up with a constantly changing environment
- The ability to learn multiple internal systems & processes quickly is a must; general tech-savviness will help as well
- High attention to detail with superior problem-solving skills; comfortable independently multitasking and prioritizing projects in a fast-paced work environment
- A relentlessly positive and optimistic attitude
- Ohio notary public preferred or the ability to meet notary requirements to obtain
- Analytical mindset with a proficiency for numbers, spreadsheets, and impeccable grammar
- Preferred: based in Columbus, OH
